OPERATIONS AND DEVELOPMENT DIRECTOR
Founded in 2016, Seeding Sovereignty is a fast growing community and advocacy organization that fights patriarchal oppression and exploitation of our planet for profit. We simultaneously seed new systems celebrating community, land, body, and cultural sovereignty during this climate crisis for our collective survival and the liberation of marginalized communities. Seeding Sovereignty is a fiscally sponsored project of Earth Island Institute.
We are looking to hire an energetic and relationship-oriented Operations and Development Director to join our team in this more senior role! We welcome a dynamic, big vision person with a love for details who possesses passion for generative advocacy and healing movement work grounded in community generated solutions. Our ideal candidate prioritizes excellent interpersonal communication and healthy, balanced relationships within the work environment.
STATUS: Part Time 25 hours per week with a possibility of expansion to Full Time as the organization grows.
SALARY RANGE: $35,000 – 40,000 (based on experience and location). Benefits available include medical coverage, paid holidays, and vacation and sick time.
LOCATION: This position is remote with some possible travel.

POSITION DESCRIPTION
The successful candidate will support a broad range of operations and finance functions and be an integral part of our highly motivated team working in a dynamic, collaborative environment for collective social justice and systemic change.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Reports to and works closely with the Executive Director, providing critical capacity to assure the smooth functioning of the organization’s operations. Supports all members of the team with programmatic, administrative, technological and financial assistance. The candidate understands the need to bring a restorative justice lens to the continuing honing of the organization’s strategies to build a workspace centering respect, joy, balance, communication and collaboration for social justice work.
Operations, Collaboration and Administrative Support
Support the team’s current and emerging programming with workflow development, planning and implementation
Facilitate team learning and use of Airtable for workflow of work plans and collaboration
Liaise with Communications and Capacity Building Team to ensure branded organizational assets, including public-facing slide decks, are current
Receive and manage team emailed requests for PTO and other leave, and assure confirmation of work coverage
Support team with Zoom scheduling, calendaring and synthesis of meetings
Manage general email inquiries
Schedule and calendar meetings. Synthesize meetings by summarizing and creating follow up tasks in Airtable
Play an active role facilitating, cultivating and deepening key organizational relationships, partnerships and collaborations online and at in-person events
Assist with filing, organization, and content management of operations, finance, and HR files
Prepare and send letters and packages by UPS, USPS, Fedex etc.
Support team with work travel arrangements
Laise between Seeding Sovereignty and its fiscal sponsor Earth Island Institute and assist with managing relevant financial reports and requests in a timely manner
Assist in accurately compiling and organizing fiscal sponsor documents to process honoraria, contracts, regrants, program-related purchases and expenses
Support Executive Director with board development, meetings and communications
Participate as a team member on special projects or initiatives as requested
Additional administrative support as needed
Team Building and Inclusion
Support planning and facilitating virtual and in-person team retreats with logistics, collaborative agenda setting, summaries and follow up for optimal team building and social justice mission effectiveness.
Lead team Zoom meeting scheduling, collaborative agenda setting, facilitation, summaries and follow ups with team and on Airtable
Play a constructive role in Seeding Sovereignty’s growth and development and the continuing honing of the organization’s strategies to build a workspace centering respect, joy, balance, communication and collaboration for social justice work.
Assist twith managing job searches and job postings for new positions and contracts; organizing applicant materials and interviews; and onboarding and integration of new team members
Fundraising
Support fundraising including joining funder meetings, calls, follow-up and webinars.
Support with fundraising (foundations and majors donors) by facilitating team involvement in programmatic grant language and by supporting grant submissions and grant tracking and management; scheduling, attending, and summarizing meetings; and preparing donor correspondence and creating budgets
Research, summarize and maintain grants and reports tracking and annual calendar for facilitation of applications for funding opportunities
Support records maintenance on Quickbooks/Salesforce
Draft and edit grant proposals and reports
Prepare thank you letters for donations and grants
Prepare cover letters to send with organization concept documents

REQUIREMENTS:
Proficiency in Excel and Google sheets
Proficiency in Nifty and Airtable and Wordpress
Proficiency with budgeting and accounting software (Quickbooks, Salesforce) specifically preparing and maintaining balance sheets, income statements and maintaining accounting records
Excellent communication and interpersonal skills, verbal and written
Comfortable managing zoom meetings
Comfortable with learning and applying quickly in the context of new emergent programs and work
Strong ability to track multiple work streams and projects and stay on top of timely communications
Must have the focus to handle responsibilities with a high degree of autonomy, accountability and attention to detail. The role is remote and the employee must manage their own workload with regular check-ins from team members via video chat, soom and messaging channels
Highly skilled at juggling and prioritizing multiple tasks and meeting deadlines
Excellent spelling, writing and proofreading skills with meticulous attention to detail
Ability to problem-solve and take ownership of assigned tasks
A professional demeanor
Discretion in maintaining confidential information
High degree of ethics and standards of professional conduct
Responsive and timely communication habits are a must.
DESIRED QUALIFICATIONS AND CHARACTERISTICS
3-5 years of processional work experience
Successful experience in a remote office environment
Exemplary time management skills
Experience using google workspace and a high level of proficiency in google sheets is strongly preferred. Microsoft Office, specifically Word and Excel
Self motivated with ability to quickly adapt to new technology and software environments (Slack, Airtable, Wordpress, CRM databases)
Pro-active with the ability to work both independently and as a team player
Flexibility to respond and adapt to a fast-paced work environment in a non-traditional office structure
Good sense of humor and positive attitude
Passion and dedication for social justice
